Document Storage

Document storage is a useful method of maintaining confidential and sensitive information whether it is your own personal information and documents, or if you happen to own your own small business.  There is a lot of necessary information you have to keep track of, and document storage provides a variety of methods to make sure your information is safe and available to you.

Document storage allows you to effectively and efficiently run your business while cutting down on the possibilities of identity theft.
Improper document storage can cost your company a great deal of money, as well as a loss in productivity.  Having the correct document storage method in place is beneficial to your company and your personal information in many ways.  Having a lot of paperwork and computer data shows every business transaction you make, so knowing proper document storage techniques provides you peace of mind that your information is organized and handled safely. There are different types of document storage, including information scanned and stored digitally, or at an off-site storage facility.  Companies who specialize in document storage can provide safe storage methods for your confidential materials.

Storing vital documents in a safe and climate-controlled facility can help you avoid the risk of important information being lost, stolen or damaged.  Some important documents like tax and financial data, medical records, and employee information oftentimes have to be kept around for years.  This means that documents can be misplaced, damaged, or tampered with.  It is also important to know that a percentage of information taken is by a company’s own employees.  In many cases, the perpetrator is simply in need of a little extra cash and has access to information on documents such as bank accounts or credit card numbers. These documents can be stolen and used for malicious purposes. It is necessary to protect your business and your customer’s confidential information.  By utilizing document storage in a safe, secure, and off-site records storage facility you cut the risk of fraud occurring all while managing your business effectively and efficiently.

When using a company for document storage, be sure that the facilities are well-organized, clean, and suitable for your needs.  By keeping your organization’s hard copy records safe and secure by using document storage, you ensure that confidential information is organized and maintained to your specifications.  You can also access your documents if necessary.  Document storage allows for more efficiency in the workplace, allows you to adhere to regulatory compliance, and can even reduce litigation risks against you or your business.

Document Shredding

Document shredding has become an important practice today with so much vital information circulating around.  There are many people searching for the private information of businesses or corporations for the purpose of identity theft. Whether you own a business or keep hard copies of personal information, document shredding is important to rid yourself of unnecessary or out-of-date documents. Identity theft has become a highly organized and costly crime. You need to protect yourself and your personal information.

Before simply throwing out old or useless paper documents or files, document shredding easily ensures that you leave little to find by criminals sifting through trash.  Many victims of identity theft have often had their information taken from them simply by people going through discarded trash and papers.  Simply by finding some key information, criminals can assume someone else’s identity and create new financial transactions at the expense of the victim.  It can take years to straighten out such issues.  Document shredding can make it nearly impossible for your identity to be taken.

Document shredding can be done in a variety of ways.  You can have a personal paper shredder for document shredding, especially if you have hard copies of important information about your own finances.  Paper shredders are affordable and lightweight and destroy vital information by shredding documents into thin strips.  And for an even higher-level of security, a cross-cut shredder tears documents into small chunks of paper, making it even more difficult for someone to piece together your shredded documents.
Another method of document shredding is to hire a service. This is especially useful if you have a small business with a higher volume of personal and business information.  A document shredding service can give you a quote for the work needed, pick up any papers you need shredded, often recycle the shreds, and provide you with a certificate that guarantees that your delicate information has been carefully disposed of by the service.

If you own a small business, you cannot underestimate the importance of document shredding.  Consider that you might have customers who provide you with confidential information, and it could be detrimental if their information was to get into the wrong hands.  There are also laws put into place that require the destruction of sensitive information.  It is also important to consider the responsibility you have to employees and their personal information, and you do not want that sensitive information available to people who could harm those who work for you.  But whether or not you can handle your own document shredding or hire a document shredding service to destroy confidential materials, it is important to guard yourself and those around you from identity theft.
